Legal Ops (short for legal operations) is the function that organizes how a legal department operates: its processes, tools, data and performance management. In an SMB or mid-market company, this role is often held by the general counsel or by a lawyer, sometimes by a dedicated lead. Pactolane, contract lifecycle management (CLM) software, gives it a shared platform: drafting standards, approval workflows, portfolio metrics, connections with your tools and governed access.
Practices that vary from one team to the next, contracts whose status nobody knows, tools that don't talk to each other.Structuring the legal function means writing rules that everyone can apply.
Each team keeps its own Word template and its own version of the liability clause. Legal discovers the gaps during review, or when a dispute arises.
How many contracts are awaiting approval, where they are stuck, how long a signature takes: the answer comes from spreadsheets consolidated by hand.
CRM, storage, signature, email: the contract is re-entered from one tool to the next, and the history of decisions gets scattered.
Pactolane lets Legal Ops standardize contract drafting, streamline approval and negotiation, then measure the portfolio, all on one platform.Templates, clause library, playbooks, approval workflows and dashboard are included from the Team plan; deadline and obligation tracking is added on the Growth and Scale plans.
Legal publishes templates with variables, inserts clauses from the clause library with their alternatives and writes its positions in playbooks. A corrected clause carries over to templates and to contracts not yet finalized.
Each template carries its approval workflow, with a playbook step that can block the contract. The counterparty negotiates via a secure link, without creating an account, and your teams discuss the contract on its page.
The dashboard shows pending tasks, contracts by stage, the average time to signature and points of attention. On Growth and Scale, deadlines and obligations join the overview.
Import your Word or PDF templates into the template editor, add the variables and the library clauses, then duplicate one of the five provided playbooks to adapt it to your policy.
Attach an approval workflow to each template, give each user one of the seven access roles and set permissions contract by contract.
Track the average time to signature, contracts by stage and points of attention, export the filtered list to CSV for your committees, then adjust templates and workflows.
Questionnaire, conditional logic, live preview and published versions. Teams fill them in, Legal stays in control.
Reference clauses by category, alternatives planned in advance, updates carried over to templates.
Four positions per clause, a score out of 100 for each contract analyzed, five provided playbooks to duplicate.
Sequential, parallel or mixed, by role or by name, with a playbook step that blocks, warns or lets the contract through.
The counterparty proposes changes via a secure link valid for 30 days, without creating an account.
Tasks, contracts by stage, average time to signature and an Analytics page; CSV export from the contract list. Deadlines and obligations on Growth and Scale.
CRM and cloud storage on Growth; REST API, webhooks and MCP server on Scale, with per-key permissions.
Seven roles, per-contract access, MFA and an audit trail of actions; SSO and advanced audit trail on Scale.
Legal Ops, short for legal operations, is the function that organizes how a legal department operates (processes, tools, data and performance management), and Pactolane gives it a shared platform for the contracts of SMBs and mid-market companies. In practice, Legal Ops harmonizes how contracts are drafted and approved, selects and connects the tools, measures activity and governs access. In an SMB or mid-market company, this function is often handled by the general counsel or by a lawyer rather than by a dedicated team.
Pactolane is contract lifecycle management (CLM) software that brings together, for Legal Ops in SMBs and mid-market companies, drafting standards, approval workflows, negotiation, signature and portfolio oversight. Templates with variables, the clause library, playbooks, approval workflows, external negotiation, simple electronic signature (SES) and the dashboard are included from the Team plan. The Growth plan adds deadline and obligation tracking, PactAI and CRM and storage integrations, and the Scale plan opens up API access (REST API, webhooks, MCP server). See all the features, and for other functions, see Pactolane by team.
Pactolane standardizes contracts by starting from the templates and clauses that Legal publishes, then analyzing each contract received with your playbooks. Your teams create their contracts by filling in the questionnaire of a published template, with clause alternatives planned in advance, and a clause modified in the clause library carries over to the templates that use it and to contracts not yet finalized. Playbooks describe four positions per clause, from preferred to red line, and five playbooks are provided, ready to duplicate. See the contract creation page, the clause library and the playbooks.
Pactolane's dashboard, included from the Team plan, tracks pending approvals and signatures, contracts by lifecycle stage, the average time to signature and its trend, as well as overdue contracts and unapproved critical clauses. The Analytics page adds the month's signed contracts, the signature rate and the average value per contract, filterable by period, status and category, and the filtered contract list can be exported to CSV. On the Growth and Scale plans, deadlines and obligations join this tracking.
Pactolane connects to DocuSign, Yousign and Dropbox Sign from the Team plan, then to your CRM (Salesforce, HubSpot, Pipedrive, Zoho CRM) and your cloud storage (Google Drive, OneDrive, Dropbox, Box) from the Growth plan. The Scale plan opens up a REST API, webhooks and an MCP server, which give your applications and AI agents access governed key by key: permissions, expiration date and autonomy mode, with human approval depending on the mode chosen. See our integrations page and the MCP server and API page.
Pactolane governs access at two levels: seven organization roles, from administrator to viewer, and, on each contract, an owner, editor or viewer level. Approval decisions are timestamped and attributed, a rejection requires a written reason, and the audit trail of actions is kept for at least 90 days. Multi-factor authentication (MFA) protects accounts, and the Scale plan adds SSO and an advanced audit trail. See our page on approval workflows and the security page.
Pactolane equips the legal function without replacing it: the legal substance of templates, clauses and playbooks remains that of your team and your advisors. The platform applies the rules you have written (published templates, authorized alternatives, playbook positions, workflow steps), and the decision on a clause in a fallback or red-line position rests with a user who has the legal administrator role. For lawyers' day-to-day work, see also our page for legal teams.
For a Legal Ops function, Pactolane's Growth plan (€499 per month excl. VAT, 14-day free trial) is the right foundation: it adds deadline and obligation tracking, PactAI and CRM and storage integrations to the standards and workflows of the Team plan. The Team plan (€149 per month excl. VAT, 3 users) is enough to set up templates, the clause library, playbooks and workflows, and the Scale plan (from €2,500 per month excl. VAT) adds the REST API, webhooks, the MCP server, SSO and the advanced audit trail. Read-only users are unlimited on every plan. Full details are on our pricing page.
