Four types of deadlines
Renewal, contract end, notice or milestone: each date is attached to its contract and typed, so you know at a glance what it requires of you.
Renewals, notice periods, contract ends, milestones. An alert at D-30, D-7, D-1, or whenever you want.In the app and by email, with two checks a day.
Non-renewal notice: 3 months before the January 31 renewal date
Annual renewal on November 22
The contract renews automatically because nobody gave notice in time. You're committed for another full term, on yesterday's terms.
The deadline file lives on one person's computer. It ages, gets duplicated, and never alerts anyone.
The renewal date is in January, but the non-renewal letter had to go out in October. It's the notice date that counts, not the end date.
Pactolane's deadline tracking lets you record, for each contract, renewal dates, end dates, notice dates and milestones, then alerts you in the app or by email the number of days you choose before each date.Deadlines are checked twice a day; those approaching turn orange, those overdue turn red. Available on the Growth and Scale plans.
Renewal, contract end, notice or milestone: each date is attached to its contract and typed, so you know at a glance what it requires of you.
You choose how many days before the date you want to be notified, for example 30, 7 and 1 day. The alert goes out in the app and/or by email.
Deadline calendar on the dashboard, a dedicated tab in your tasks, and an overview of deadlines due within 30 days and of overdue dates.
From the deadline manager, choose the contract, the date and the type: renewal, contract end, notice or milestone.
Enter the number of days before the date for each alert, and the channel. The same alert is sent only once every 24 hours.
Renegotiate, terminate, renew: you act while the choice still exists, then mark the deadline as handled.
A table of all deadlines: contract, date, type, upcoming or overdue status. Edit, mark as handled, delete.
Number of days before the date set per deadline, alerts in the app and by email, checks at 9 a.m. and 5 p.m.
Green when all is well, orange under 7 days, red once the date has passed: urgency is visible without opening the contract.
A monthly mini-calendar showing busy days, an “Upcoming deadlines” category and a Deadlines tab in your tasks.
On the Analytics page, a chronological view of the portfolio's deadlines, filterable by period, status and category.
Once the framework agreement is linked to its amendments, PactAI answers “What is the family's next deadline?”.
Contract tracking software lists the dates that bind the company after signature (renewals, notice periods, contract ends, milestones) and triggers a reminder before each one. In Pactolane, each deadline is attached to its contract, typed and dated, and triggers reminders in the app or by email the number of days ahead that you set. The contracts themselves stay in the contract repository, and the commitments to be performed are managed in obligation tracking.
Pactolane lets you record the notice deadline as a deadline in its own right, with its own reminders, so you act before the renewal and not just before the end of the contract. A contract that must be terminated three months before its end date is therefore managed on the notice date: a reminder at D-30 gives you time to renegotiate or send the non-renewal letter.
Pactolane's deadline alerts are sent in the app, by email, or on both channels, depending on each deadline's settings. You choose the number of days before the date, for example 30, 7 and 1 day. The system checks deadlines twice a day, at 9 a.m. and 5 p.m., and never sends the same alert twice within 24 hours, so that each reminder keeps its value.
In Pactolane, deadlines are entered by your teams, who stay in control of what is recorded: each deadline takes just a few fields to create (contract, date, type, reminders) from the deadline manager. To go faster on a long contract, you can run PactAI's obligation analysis, which lists the commitments set out in the contract; you then check its answer and record the relevant deadlines. In Pactolane, deadline tracking covers the dates of the contract itself (renewal, end, notice, milestone) and triggers reminders; obligation tracking covers the commitments to be performed (deliverable, report, certificate, audit), each with an owner and a status. The two complement each other and are included in the same plans: for an important obligation, you can also record a milestone-type deadline on the same contract, with its own reminders. Learn more about contractual obligation tracking.
Pactolane displays the deadlines of all your contracts in several places: the calendar and the “Upcoming deadlines” category on the dashboard, the Deadlines tab in your tasks, the overview that counts deadlines due within 30 days and overdue dates, and the timeline on the Analytics page. The overview can also be filtered by contract and by counterparty, for example to count a supplier's upcoming deadlines.
Pactolane's deadline tracking and its alerts are included in the Growth (€499 per month excl. VAT, 14-day free trial) and Scale (from €2,500 per month excl. VAT) plans. These plans also include obligation tracking, PactAI and contract families. Full details are on our pricing page.
