The problem

The same supplier,
three spellings.

01

Counterparties re-entered for every contract

Company name, address, registration number: for every contract, someone copies out the same information, with the risk of an error in a binding document.

02

Duplicates that distort the picture

“Datalys”, “DATALYS SAS”, “Datalys Lyon”: three records for a single supplier, with its contracts spread across them.

03

Contacts nowhere to be found

Who signs at this client, who follows the contract at this supplier? The information is in an old email or in a colleague's head.

The solution

One record per counterparty,
linked to its contracts.

Pactolane's counterparty directory brings your clients, suppliers and partners together in one record per organization: legal identity with SIREN lookup, contacts, related contracts, activity history and internal notes.Duplicates are flagged at creation and can be merged by reassigning contracts. Included from the Team plan.

Pre-filled legal identity

SIREN lookup in the official French database, intra-EU VAT number lookup when available, and pre-filling of the name and address.

Duplicates flagged and merged

An alert appears when a similar name already exists, regardless of capitalization or accents. Merging keeps the values you choose and reassigns the contracts.

How it works

Entered once,
reused everywhere.

1

You create the counterparty

Name, type (client, supplier, partner or other), contact details and SIRET, with SIREN lookup to pre-fill. On the Growth and Scale plans, you can also import your accounts from your CRM.

New counterpartySupplier
SIREN found · address pre-filled

2

You add the contacts

Name, email, phone, job title. The first contact becomes the main contact, which you can change.

Your contracts build on it

When creating a contract, you choose the counterparty and its contact; the template fields designed for this are filled in from the record.

FAQ

Common questions.

Q.01What is a counterparty directory?

A counterparty directory is the reference list of the organizations a company contracts with (clients, suppliers, partners), with each one's legal identity, contacts and contracts. In Pactolane, each counterparty has a reference record that feeds contract creation, instead of being re-entered in every document.

Q.02How does Pactolane fill in a counterparty's legal identity?

When you create a counterparty, Pactolane offers a SIREN lookup in the official French database and, when available, a lookup by intra-EU VAT number, then pre-fills the name and address. The SIRET number entered is validated as a 14-digit number. During contract creation, this information then feeds the template fields linked to the counterparty record.

Q.03How does Pactolane prevent duplicates?

Pactolane flags, as soon as a counterparty is created, that a similar name already exists, regardless of capitalization or accents, and does the same for contacts. When a duplicate exists, merging lets you choose the values to keep, reassigns the duplicate's contracts to the main record and then deletes the duplicate.

Q.04Can I import my clients and suppliers from my CRM?

Pactolane imports the accounts and contacts from your connected CRM, Salesforce, HubSpot, Pipedrive or Zoho CRM, on the Growth and Scale plans: accounts feed the counterparty records, and contacts feed their contacts. Integration details are on our integrations page.

Q.05How is counterparty data protected?

In Pactolane, counterparties' sensitive information (email, phone and address) is encrypted in the database with AES-256-GCM, encryption being one of the processing security measures cited in Article 32 of the GDPR. The data is hosted in France and Belgium, on Google Cloud. Access to the platform is role-based, and two-factor authentication (MFA) can be enabled on each account. Full details are on our security page.

Q.06Which plan includes the counterparty directory?

Pactolane's counterparty management is included from the Team plan (€149 per month excl. VAT, 7-day free trial). Import from a connected CRM is available on the Growth (€499 per month excl. VAT) and Scale (from €2,500 per month excl. VAT) plans. Full details are on our pricing page.
