Vendor proposal on Article 7
Subscriptions renewed by default, service commitments barely tracked, contracts spread across IT, procurement and business units. The contract sets out what the vendor owes you; you still need to know it at the right time.
The notice date has passed, the subscription rolls over for another year, and the tool you wanted to replace stays in place.
Uptime rates, monthly reports, security audits: written into the contract, reread when an incident occurs.
Each business unit signs up for its own tools. Contracts, terms and data processing agreements stay in inboxes.

IT contract management software brings together license, SaaS subscription, maintenance and managed services contracts, and tracks their notice periods, renewals and supplier commitments. Pactolane, contract lifecycle management (CLM) software built for SMBs and mid-market companies, covers this cycle end to end: analysis of the contract proposed by the vendor, negotiation, internal approval, signature, then tracking of deadlines and obligations, with a supplier directory.
Pactolane lets you record the last date for giving notice on a subscription as a deadline in its own right, with its own reminders, so you decide before the renewal rather than on the end date. A subscription that requires three months' notice of non-renewal is therefore managed from the notice date: a reminder at D-30, in the app and by email, gives you time to renegotiate or terminate. Deadlines are checked twice a day, on the Growth and Scale plans. Learn more about deadline and renewal tracking.
Pactolane manages software license agreements: the vendor's contract, its amendments, its term, its notice period and each party's commitments. You import it or create it from your template, analyze it with the software license or SaaS playbook provided, then track its renewal. On the Growth and Scale plans, you link the amendments to the original contract and PactAI answers questions such as “What terms apply today after the amendments?”. Tracking covers the terms of the contract: term, notice period, renewal and the parties' commitments.
In Pactolane, each commitment of an IT provider (uptime report, security audit, deliverable, reversibility plan) is recorded as an obligation with its date, its status and the person responsible, on the Growth and Scale plans. An obligation whose date has passed gets the “overdue” badge, and the overview can be filtered by supplier to prepare a review. On a long contract, PactAI's obligation analysis lists each party's commitments; you then choose which ones to track.
Pactolane handles these clauses through playbooks: for each clause, you write four positions (preferred, acceptable, fallback, red line), and each contract analyzed receives a score out of 100 with the list of missing clauses. The “Software license or SaaS” and “Data processing agreement (DPA)” playbooks are provided, ready to duplicate and adapt, from the Team plan. The DPA meets a specific requirement: Article 28(3) of the GDPR provides that processing by a processor shall be governed by a contract or other legal act. In an approval workflow, the playbook step can block a contract that lacks a clause you have made mandatory, such as reversibility.
Pactolane integrates with your IT systems through a REST API, webhooks and an MCP server, included in the Scale plan. Your administrators create keys with permissions chosen one by one and an optional expiration date; for AI agents, each key carries an autonomy mode (read-only, supervised, assisted, autonomous), and actions that require approval wait for someone on your team to approve them. Webhooks can be tested, and every exchange remains visible in the integration log. From Growth, Pactolane also connects to your cloud storage (Google Drive, OneDrive, Dropbox, Box). Details are on our MCP server and API page and on the integrations page.
The data you entrust to Pactolane is hosted in France and Belgium, on Google Cloud, a hosting provider disclosed transparently. It is encrypted at rest with AES-256-GCM and in transit with TLS; access relies on seven roles, multi-factor authentication and, on the Scale plan, SSO; the audit trail is kept for at least 90 days. Personal data is removed before any AI processing, and your contracts are never used to train models. An ISO 27001 certification process is underway, and the list of sub-processors is provided on request. Details are on our security page and on the official information page.
For an IT team, Pactolane's Growth plan (€499 per month excl. VAT, 14-day free trial) is the right starting point: it adds notice and renewal tracking, obligation tracking, contract families and PactAI to the Team foundation. The Scale plan (from €2,500 per month excl. VAT) opens up the REST API, webhooks, the MCP server, SSO and the advanced audit trail, with dedicated support. Getting started takes four stages: workspace, team, contract import, playbooks. See our pricing page, how to switch to Pactolane and the other teams that use the platform, such as HR.
