How a CLM works,
in practice.

Contract lifecycle management (CLM) software takes every contract through the same steps, from creation to renewal. In Pactolane, a contract starts from a template, is negotiated with the counterparty, analyzed with your playbook, goes through its approval workflow and is signed electronically, then joins the contract repository, where its deadlines and obligations are tracked and where the dashboard gives the overall view. The Team plan covers steps 1 to 6 and the dashboard; the Growth and Scale plans add deadline and obligation tracking, PactAI and contract families. For lifecycle stages in general, see our explainer on the contract lifecycle.

Steps 1 to 4

From template
to approved contract.

1. Create a contract

Your teams start from a template published by Legal: questionnaire of variables, clause alternatives set in the clause library, live preview. A contract you receive can also be imported, as a PDF or Word file.

From the Team plan.

Clause library →

2. Collaborate and negotiate

Internally, your colleagues comment on the contract and mention each other. The counterparty receives a secure link valid for 30 days and a one-time code, with no account to create, then proposes changes.

From the Team plan.
Internal collaboration →
Negotiation and redlining →

3. Analyze

Your playbook places each clause between your preferred position and your red line, flags missing clauses and scores the contract out of 100. On Growth and Scale, PactAI adds AI analysis and answers your questions.

4. Approve

The workflow attached to the template starts in one click: sequential, parallel or mixed steps, approvers by role or by name. A playbook analysis step can block an off-policy contract.

Approval workflows →

Steps 5 to 8

From signature
to portfolio management.

5. Sign

The approved contract is sent for native, unlimited simple electronic signature (SES), or via DocuSign, Yousign or Dropbox Sign. With native signature, each signer confirms their email address with a code sent to it.

From the Team plan.
Electronic signature →

6. Centralize

The signed contract joins the contract repository alongside your imported contracts, and each client or supplier you add has its own record in the counterparty directory. On Growth and Scale, you link amendments and implementing contracts into families.

7. Track

The notice periods, renewals, contract ends and milestones you record trigger reminders in the app and by email, as far ahead as you choose. Each obligation carries a date, a status and an owner.

8. Manage

The dashboard brings together the approvals and signatures to handle, contracts by stage, the average time to signature and points of attention. The Analytics page helps you prepare for committee meetings.

FAQ

Common questions.

Q.01How does CLM software work?

CLM software like Pactolane takes every contract through eight steps: creation, collaboration and negotiation, analysis, approval, signature, centralization, deadline and obligation tracking, then portfolio management. In Pactolane, these steps take place on one platform, and the contract keeps its comments, decisions and audit trail from one step to the next. For the general principle, see our explainer on the contract lifecycle and the guide on CLM software.

Q.02Which steps are included in the Team plan?

Pactolane's Team plan (€149 per month excl. VAT, 7-day free trial) covers contract creation from your templates and clause library, internal collaboration, negotiation with the counterparty, playbook analysis, approval workflows, native and unlimited simple electronic signature, the contract repository, the counterparty directory and the dashboard. The Growth (€499 per month excl. VAT) and Scale (from €2,500 per month excl. VAT) plans add deadline and obligation tracking, PactAI and contract families. Full details are on our pricing page.

Q.03Does the counterparty need to use Pactolane?

With Pactolane, your counterparty negotiates and signs without creating an account. To negotiate, they receive a secure link by email, valid for 30 days, confirm their address with a one-time code and propose changes within the permissions you grant them. To sign, they likewise confirm their address with a one-time code. Learn more about negotiation and electronic signature.

Q.04Can we bring in contracts that are already signed?

You import your already signed contracts into Pactolane as PDF or Word files: the text is extracted and, if you choose a playbook, the clauses are analyzed and the contract receives a score. On every plan, AI also extracts the contract's key information, then the contract joins the contract repository like those created in the platform. On the Growth and Scale plans, automatic AI analysis is added, and you record the contract's deadlines and obligations and link its amendments to it.

Q.05How do I get started with Pactolane?

Getting started with Pactolane follows four stages: create your organization's workspace, invite your team, import your existing contracts and configure your playbooks. You can start on your own with the free trial of the Team (7 days) or Growth (14 days) plans, or book a demo on your own use cases; the Scale plan adds dedicated support and legal onboarding. The pace depends on the volume of contracts to bring in and the number of teams involved. See also our guide to a successful first CLM rollout.

Q.06Who decides the legal substance of contracts?

In Pactolane, the legal substance is decided by your lawyers and your legal counsel: the platform applies the positions written in your playbooks, routes the contract through the approval workflow you have defined and records every decision. When a clause falls into a fallback or red-line position, a lawyer on your team accepts or rejects it with a comment. On the Growth and Scale plans, PactAI prepares the analysis, and you check its answers before acting.

Q.07Does Pactolane connect to our tools?

Pactolane connects to DocuSign, Yousign and Dropbox Sign from the Team plan, and to your CRM (Salesforce, HubSpot, Pipedrive, Zoho CRM) and your cloud storage (Google Drive, OneDrive, Dropbox, Box) from the Growth plan. A connected CRM lets you import your accounts and contacts into the counterparty directory. The Scale plan opens up the REST API, webhooks and the MCP server so that contracts and their data can flow to and from your other applications. See our integrations page.
